As information around the coronavirus (COVID-19) develops, our top priority is the safety and well-being of our employees, agents and customers. In the same way we prepare for the hurricane season, The Closing Agent has been closely tracking the situation and taking proactive measures to ensure closings continue seamlessly while also ensuring the safety of all involved.
UPDATED July 8, 2020 – CLOSING ROOM CHANGES
Continuing indefinitely, The Closing Agent is taking additional measures to protect the health of our customers, client partners and closing staff. This policy only affects in-person closings.
Until further notice, only those who are signing closing documents will be admitted to our closing rooms with our personnel. Realtors®, lenders, and other visitors will not be permitted to be at the table and are encouraged to attend closings virtually via speakerphone or video call for the safety of everyone involved. This standard will apply even if you think it is safe to do so to limit the spread of coronavirus and to protect our personnel.
In addition, any and all visitors, including family members, with flu-like symptoms such as fever and new or worsening cough or shortness of breath will not be allowed in our facilities to help control the spread of illnesses. Our employees will work with customers, Realtors® and lenders who have special circumstances on a case-by-case basis.
The visitation restrictions apply to all Closing Agent locations:
- Altamonte Springs
- Merritt Island
- Winter Park
This is a rapidly evolving situation and The Closing Agent will take additional steps to help control the spread of COVID-19 as necessary. The Closing Agent recognizes that representing your clients is important during the closing process and we strongly encourage everyone to utilize other forms of support for their clients, such as phone calls, video chats on cell phones or other mobile devices.
You may be aware that social distancing is recommended as one of the best ways to mitigate the spread of the virus. Please maintain 6 foot distance separation at all times and please cooperate with our personnel. We want to provide a safe environment for our employees and guests.
Previewing Your Closing Package Prior To Signing
In advance of your closing you will receive a copy of your closing documents. We recommend reviewing all of the documents prior to closing and contacting us if you have any questions. We would be glad to explain and address any concerns. In this way we can provide an expedited closing experience. Please note that not all lender packages are available in advance but we will work with the lender to provide these where possible.
Attending The Closing
In the interests of safety we encourage only those people who will be signing to attend to the closing. Realtors®, lenders and visitors will be required to remain in our lobby areas and maintain 6 foot distancing at all times.
– The common areas in each of our offices are cleaned and sanitized before and after each closing. Upon entering the office we will ask you to sanitize your hands.
– An associate will then ask for two forms of ID from each signer. This can include a current driver’s license or other official photo ID such as a passport or military ID; AND another form of ID such as work ID, membership card, insurance card, voter registration, etc. Please note that credit cards are not acceptable.
– You will be handed a pen to sign with that will be yours to keep and will be shown to your closing room.
– During the closing, we will observe social distancing protocols and our personnel will use gloves to handle documents.
ALTERNATIVES TO A TRADITIONAL IN-PERSON CLOSING
In some cases a traditional closing may not be possible. As experts in our field we have several practical alternatives that leverage cutting-edge technology. If you are concerned about attending a closing or there is a potential you may not be able to make it due to travel restrictions or similar, please contact your closer to discuss the following options we may be able to provide.
Mail-Away Signing – The documents can be emailed to you. You would need to print them and arrange for a notary and the required witnesses. We would provide you a UPS label and you will need to arrange a UPS pick-up or drop off.
Mobile Notary Servicer – A Mobile Notary can be hired to travel to you to conduct the closing. This will be based upon availability of outside vendors and there is an additional fee.
Power Of Attorney (POA) – We can have our legal staff draft a POA for you, at no charge. You can have it notarized and emailed back to us, or you can have it notarized via RON (see below). The POA will allow one of our staff attorneys to sign on your behalf. You will be sent all documents to review and approve prior to or at the time of your closing.
Remote Online Notarization (RON) – A RON closing enables you to complete the entire closing from your computer. Please note there are some limitations on this option depending on the specifics of your closing. If you are a seller and a US resident, this method is, in our opinion, your best option. Each signer needs to be verified by a third party, which is seamless and online. The platform provider charges a fee. If you are a buyer, your lender may not permit this option.
